Most Overloaded Owners run their business out of their own head
The login is in your head. The follow-up order is in your head. The way you like the invoices formatted, the way you onboard a new client, the steps to close out the books each month. All in your head.
That's why you can't take a vacation. That's why nothing changes when you hire help. That's why your business is held hostage by you.
The Workflow Manual changes that.
What the Workflow Manual is
Every Distant Assistant at Bottleneck builds a living document for the business they support. We call it the Workflow Manual. It captures every recurring task in your business, documented down to the click of the mouse button.
Not a Notion page somebody updates when they remember. Not a folder full of half-finished SOPs. A real, organized, structured manual that grows every week.
Your DA owns it. Your DA updates it. Your DA uses it. And if your DA ever leaves, the next DA picks it up on day one and runs the business without missing a beat.
How it gets built
Your DA doesn't show up with a blank template. They build the manual the right way, in this order.
Week 1
They observe and document your most painful recurring tasks first. The ones that landed back on your desk last week, and the month before that.
Weeks 2 through 4
They document the next layer. Daily admin, weekly reporting, monthly closings, quarterly reviews.
Month 2 onward
Every new task becomes a new entry. Every change to a process becomes an update. The manual keeps pace with your business.
Why it matters
- It gets the business out of your head and onto paper.
- It eliminates "I don't know how" from your DA's vocabulary.
- It protects your business from turnover, sickness, vacation, and burnout.
- It compounds. Every documented task makes the next one easier to delegate.
- It's the single biggest reason our Distant Assistants stay for years instead of weeks.

A real Workflow Manual sample
What you're about to see is real. Other companies talk about documentation. We do it. Every Workflow Manual entry includes click-by-click instructions, annotated screenshots, and step-level confirmation prompts. The sample below is not a teaser. It's how every task in your Workflow Manual gets documented.
Workflow Manual
Sample Task Entry: 2.1 Morning Inbox Triage
This task is officially named Morning Inbox Triage. Variations like "email check" or "morning emails" are not to be used. The name avoids confusion and ensures everyone is talking about the same task.
Documented by the DA, presented to the POC for review, and formally approved as Version 1, with a "confirm you are in the correct inbox" safety check added.
The completion signal is the Daily Triage Report posted in #poc-daily by 8:30 AM Central. When it posts, the POC knows the task is complete. No status check needed.
3.1, Open the web browser. Click the Google Chrome icon in your taskbar or dock.
3.6, Confirm you are in the correct inbox. Look at the top-right corner of Gmail. The profile should match the POC. If you see your own name, sign out and start over.
That's one task. A real Workflow Manual contains dozens. Every recurring action in your business gets the same treatment.
The Four-Step Task Process
Every task in your Workflow Manual goes through four steps before it ever enters the document. This is Delegation Intelligence in action.
Name It
Every task gets one clear name. No "the thing with the emails." Everyone uses the same words.
Confirm It
Your DA repeats back what they heard. Confidence they listened, and one more chance to add something.
Review and Approve
Your DA documents the task, then presents it for review and approval before it enters the manual.
Signal It
Every task has a specific signal that proves it's done. Agreed upon and used every time.
Out of your head
