A Week in Review with Jaime and Sara on Live with Bottleneck

Bottleneck Virtual Assistants (BNVA) CEO Jaime Jay and COO Sara Knox talk about the events and learnings that transpired within the company for the past seven days. This edition of A Week in Review contains insights on systems and processes how you can make your businesses better through proper delegation.

Examining Your System 

Jaime Jay and Sara share that one of the biggest challenges that they had during the past week is the change in their billing system. Sara says that this transition, however challenging, is more cost-saving, efficient, easy for their clients. 

The challenges with the billing and all that stuff was kind of challenging. But we were growing. We started identifying more friction points. Being a big systems driven person, we had to tweak our model and we had to find out where those friction points were. Once we’ve identified those, how do we fix or repair those friction points?” – Sara Knox

On Systems and Processes

BNVA adopted a new customer relationship management software, Hubspot. They say that this could help them with their new updated workflow. Jaime adds that they can now scale more effectively and efficiently and take care of their clients.   

“Here’s the thing with any system and any process: it’s a living breathing aspect of your business. It constantly needs nutrition just like a human being. We need to eat. We need to drink to stay alive. It’s the same way with business, you need to keep fueling that business and infusing it with updated material, updated steps, and updated technology.” – Jaime Jay

Learning to Delegate 

When asked about how they learned to remove themselves from the details, Jaime Jay and Sara reveal that it was not easy. Sara shares that it took her a lot of hard work but the freedom it brought was worth it. Jaime says that delegating some work to an assistant allowed him to venture and learn other aspects.  

“When you hire somebody to do something, whether it’s a vendor or a staff member, the work actually gets harder in the beginning. As you build trust, there’s more time that you can build that relationship. You’ll slowly be able to say ‘Okay, I’m comfortable. I can delegate more.’” – Jaime Jay
