Some business owners lack information and strategies which often times result to a challenging management of their businesses. Always glad to help, Bottleneck Distant Assistants CEO Jaime Jay and COO Sara Knox give a sneak peek at the tools they use for their marketing strategies. They also talk about some of the challenges they encountered in their business and what good things they got from it despite the hardships.

Employee Cost Calculator

Jamie proudly shares Bottleneck’s employee cost calculator. He said that they are going to do a couple of campaigns for business owners to help them know how much it cost for each employee. They developed the calculator for those business owners who don’t know what and how soft cost works.

“It’s a really good exercise to go through, put in your own numbers there. It might take you a little while to do some research. We’re going to be adding some more tooltips to kind of give you circles with the eyes in it so you can click on it and comes up with a little overview of what it is. We’re going to add some more of those in there to help you figure out what those amounts are for you.” – Jaime Jay

PA Onboarding Manual Template

Jamie shares another tool called VA Onboarding Manual. It offers a nicely designed VA onboarding manual template where you can list down tasks and give it to your assistant. He says that he made this tool because he talked to a lot of people that don’t know how and what they can delegate tasks to people.

“You can basically give this template to your new assistant, and they know exactly what a typical day would look like. You know, the logins and passwords, how to use software, what software you use, what time you expect them to be there, and break times. All this stuff is on there, so it’s a really cool tool.” – Jaime Jay

Helping New Clients

Jaime and Sara are glad because they can see the benefits of all the hard work they’ve done. Jaime shares that they have new clients to walk through their new processes. Sara says that one of the biggest challenges they found from their new clients as they don’t know how to train when they hire someone so, they aim to help them.

“We’ve got a framework for them. You need to train, you schedule training at this time, and what are you going to train on. We set up a whole schedule form.” – Sara Knox

Jaime and Sara run a business that helps business owners alleviate the mundane details of their daily lives that free them up to do their best work. From their back deck, they talk about all the workflows they are putting in place, building a great culture within their organization from a distant relationship – or remote-based environment. They discuss the challenges, but they also enjoy the successes.
